How to Use the Autoresponder


Step 1: Open WebReachX Dashboard

Log in to your WebReachX account.


Step 2: Click “Autoresponder”

From the left sidebar under Features, select Autoresponder.
This opens the autoresponse setup page.


Step 3: Create a New Rule

Click “Add New Rule” (or “Create Autoresponder”).

You will now see options to customize your automatic reply.


Step 4: Set Your Rule Conditions

You can choose when the autoresponder should activate.

1. Keyword-Based Response

The system replies only when the user types a specific word.
Example:

  • Keyword: hi

  • Auto Reply: “Hello! How can I help you today?”

2. Always Reply Mode

The system replies to every message, no keyword needed.

3. Time-Based Response

Set replies only during specific hours.
Example:

  • Working hours: 9 AM – 6 PM

  • Outside hours reply: “We’re offline now, will get back soon.”


Step 5: Write Your Auto-Reply Message

In the message editor, you can add:

  • Text

  • Emojis 

  • Links

  • Buttons (if templates allowed)

  • Media (optional based on system version)

 Example:
“Hello! 👋 Thanks for contacting WebReachX.
Our team will respond shortly. Meanwhile, explore our services at www.webreachx.in.”


Step 6: Choose Additional Options

Depending on your version, you may have:

Reply Cooldown

Avoid sending the same auto reply repeatedly to the same user.

Attach Media

Send an image, PDF, or video as part of the reply.

Forward to Chatbot

Autoresponder → Chatbot → Custom flow


Step 7: Save Your Rule

Click “Save” or “Activate Rule”.

Your autoresponder is now live.


Step 8: Test Your Autoresponder

Send a message from another WhatsApp number to confirm:

  • Reply triggers correctly

  • Message content is correct

  • Keyword rules are working

  • Media loads properly
