How to Use the Call Responder

Call Responder automatically detects when someone calls your WhatsApp number and sends an instant WhatsApp message to them if the call is missed or rejected. It is useful for: Missed client calls After-hours support Lead capture Appointment callbacks Business inquiries
How to Use the Call Responder

Step 1: Log In to WebReachX

Open your dashboard and make sure your WhatsApp device is connected.


Step 2: Click on “Call Responder”

From the left sidebar under Features, select Call Responder.

This opens the call automation settings page.


Step 3: Enable Call Responder

Toggle the switch or button to Activate the feature.
(Your version may show “Enable Auto Reply for Missed Calls.”)


Step 4: Write the Auto-Reply Message

Enter the message you want to send to users who call you.

 Example:

“Hello! 👋
We noticed you tried calling us.
Our team will get back to you shortly. You can also message us here for quick support!”

You can include:

  • Text

  • Emojis

  • Links

  • Media (if supported)


Step 5: Choose Trigger Type

You may have options like:

1. Missed Call Response

Send a message only if you miss the call.

2. Rejected Call Response

Send a message if you decline the call manually.

3. After-Hours Mode

Send a different reply outside business hours.


Step 6: Add Custom Rules (Optional)

Some versions allow:

• Cooldown Time

Avoid replying again to the same number within X minutes.

• Backup Message

Send a second follow-up message after a delay.

• Forward to Team

Notify your team about missed calls automatically.


Step 7: Save & Activate

Click Save, Update, or Activate Rule to turn it ON.


Step 8: Test Your Call Responder

Use another mobile to call your connected WhatsApp number.

Check:

  • Was the call missed or rejected?

  • Did the message send immediately?

  • Is the content correct?
