How to Use the Chatbot

How to Use the Chatbot

Step 1: Open WebReachX Dashboard

Log in to your account and locate the left sidebar.


Step 2: Click on “Chatbot”

Under the Features section, select Chatbot.
You will see the chatbot builder interface.


Step 3: Create a New Bot Flow

Click “Create New Bot”, “Add Flow”, or “New Chatbot” (depending on your version).

This opens your flow editor.


Step 4: Set the Chatbot Trigger

Choose how the chatbot should start:

1. Keyword Trigger

Bot replies when someone types a specific word.
Example:
User types: menu
Bot replies with:
“Here is our menu…”

2. Default Bot (Always On)

Bot responds to all incoming messages automatically.

3. Time-Based Bot

Bot active only during your offline hours.


Step 5: Build Your Chatbot Flow

Inside the flow builder, you can create:

Text Messages

Reply with normal text, emojis, links, etc.

Media Messages

Send images, videos, PDFs or documents.

Button Messages

Add clickable buttons like:

  • “View Services”

  • “Contact Support”

  • “Buy Now”

List Messages

Send multiple options in a structured list.

Next Step Flow

Connect one message to another to build a full conversation.


Step 6: Add Conditional Logic (Optional)

Some versions allow conditions like:

  • If user clicks Button A → Show Message A

  • If user sends Number 1 → Give information #1

  • If user types “help” → Switch to support bot

This makes your bot smarter.


Step 7: Save & Activate the Chatbot

Click Save, Publish, or Activate Bot.

Your Chatbot is now LIVE and running on your WhatsApp number.


Step 8: Test Your Chatbot

Use another phone to message your WhatsApp number.

Check:

  • Does the bot start?

  • Are buttons working?

  • Are flows linking correctly?

  • Any spelling/content changes needed?

Testing ensures smooth performance.
